A guide from setup to payslip

Prepare your first payroll.

Start with your staff. Set their schedules, check their attendance, then work out their pay. Follow these four stages in order.

Follow the main steps whether you handle payroll yourself or work with a team. Agree on responsibilities in the preparation guide before you begin.

Preparation

Before you start

A cutoff is the date range a payroll covers. Choose your first cutoff before adding schedules or reviewing attendance.

  • Check that you are in the right business and review its details in Settings.
  • Review Payroll Settings with the person responsible for your pay policies.
  • Gather employee records, agreed rates, work schedules, and the dates you intend to pay for.
  • Confirm who can edit staff, schedules, and attendance, and who can manage payroll. Ask your account owner if a page or action is unavailable.

Step 1 of 4 · Staff

Add your staff

Start with the people you will include in your first payroll.

Before this step

Gather their names, pay rates, salary types, and pay frequencies. Have your employee records ready to check against.

What to do

  1. Open Staff and choose Add Employee. Enter the employee’s name and assign their position and branch where needed.
  2. Choose their Salary Type and enter the matching rate. Check Pay Frequency against the period you plan to pay them for.
  3. Save the employee, then review their details. Repeat for everyone included in this payroll.

Ready to move on when…

Everyone in your first payroll appears in Staff, with the correct rate and pay frequency.

Step 2 of 4 · Schedule

Set their schedules

Give Timekeep the work hours each person is expected to follow.

Before this step

Have the working days, shift times, and rest days for your first pay period ready.

What to do

  1. Check Shifts for the work hours you need. Set up any missing shift before assigning it to staff.
  2. Open Schedules and use Create Schedule to assign the employee, dates, and shift.
  3. Review the whole pay period. Check rest days and overnight shifts against the agreed schedule.

Each employee’s expected workdays and rest days match the plan for the pay period.

Step 3 of 4 · Attendance

Record and review attendance

Check what happened on each workday before you calculate pay.

Before this step

Make sure schedules are ready. If staff will clock in through a kiosk, set up the device in Kiosks and complete employee enrollment first.

What to do

  1. Have staff record their clock-ins and clock-outs. Check that their records appear in Attendance.
  2. Review the dates covered by your payroll. Check missing punches, unexpected absences, and records that do not match the schedule. Before correcting a missing punch, check the kiosk’s connection: a record waiting to sync may still arrive.
  3. Resolve incorrect records with someone who can confirm the hours worked. Review leave and overtime that affect the period before moving on.

You can account for the workdays in the period, and the issues that could change pay have been resolved.

Step 4 of 4 · Payroll

Prepare your first payroll

Calculate the draft, check each payslip, and finish only when the results are correct.

Before this step

Confirm the pay period and employees. Finish the staff, schedule, and attendance checks above, and review the deductions that apply.

What to do

  1. Open Payroll. Create a payroll with the correct dates and employee selection, then choose Create Payroll.
  2. Open the draft and choose Run Payroll. Review each payslip’s earnings, deductions, and net pay — the amount left after deductions.
  3. If an amount looks wrong, check the employee’s rate, schedule, attendance, and deductions. Fix the source of the difference, then run the draft again and review the results.
  4. Choose Lock once the draft is ready. If it still needs a correction, use Unlock to return it to a draft.

Ready to move on when…

The correct employees and dates are included, and your review accounts for each payslip’s earnings, deductions, and net pay.

Final check

Finish your payroll

After you have paid your staff and checked the locked payroll, choose Mark as Paid. Read the confirmation before continuing.

This action cannot be undone. It finalizes payslips, records loan payments, and locks in government contributions. Marking payroll as paid records its status; it is not an instruction to transfer money.

For your next cutoff, review staff changes, update schedules, check attendance, and prepare the next payroll. Use this same path whenever you need it.
