How to assign branches to staff schedules in Timekeep

“Which branch am I assigned to tomorrow?”

If your staff move between locations, a shift time answers only half the question. Someone can know they start at 8 AM and still need to message you to ask where to go.

You can now assign a branch to a work schedule in Timekeep. Employees see the branch name below their shift time in the employee portal, so they can check when and where to report in one place.

One employee, different branches

Suppose Ana works at your Makati branch on Monday and covers a shift at Quezon City on Tuesday. Both shifts run from 8 AM to 5 PM.

Choose Makati for Monday’s schedule and Quezon City for Tuesday’s. When Ana opens the employee portal, each day shows its own branch beneath the hours.

How to assign a branch

Add your locations under Branches → Create Branch first, or ask someone who can manage branches.

  1. Open Schedules and choose Add Schedule.
  2. Select the employees, dates, shift times, and break duration.
  3. Choose a location under Branch (optional), then select Create Schedule.

The branch applies to all working schedules you create at once. Create separate schedules for dates worked at another branch.

Change a branch when plans change

Open an existing schedule in the calendar, choose another location under Branch (optional), and select Save Changes. The employee sees the updated location when they next load their schedule in the portal.

To remove the location, choose No branch assigned and save. Their shift still appears in the portal, without a branch label.

A few details to know

  • Branch assignment is optional. You can keep scheduling as before when a shift does not need a location.
  • Rest days have no branch assignment. The branch field is for working schedules.
  • Home Branch stays separate. Assigning Quezon City to Monday’s schedule does not move the employee’s Home Branch to Quezon City. The calendar’s branch filter still groups employees by Home Branch.
  • This tells staff where to report. Assigning a branch to a schedule does not restrict where an employee can clock in.

Put the location alongside the hours

The next time you plan a week across branches, add the location as you assign each shift. Your team can open the employee portal and check the details without searching through a separate message or roster.

Can an employee work at different branches on different days?

Yes. Choose a branch for each schedule. An employee can report to Makati on Monday and Quezon City on Tuesday, with each location shown below the shift time in the employee portal.

Is assigning a branch required?

No. Leave No branch assigned selected if the schedule does not need a location. The employee portal shows the shift without a branch label.

Why can't I see the Branch (optional) field?

Create a branch from the Branches page first, or ask someone who can manage branches to do so. The field is hidden when there are no branches to choose from. It also does not appear for a rest day.

Does the assigned branch restrict where employees can clock in?

No. The schedule branch tells employees where to report. It does not restrict where they can clock in.

Does this change an employee's Home Branch?

No. The branch on a schedule is separate from the employee's Home Branch. The calendar's branch filter still groups employees by their Home Branch.
