Lock and unlock a payroll run

Control calculation changes and employee access by locking or unlocking a payroll run.

Before you start

You must be an owner or manager. A draft run needs at least one generated payslip before Lock becomes available.

Lock only after you review Payroll Entries. Locking stops the calculated payslips from being rebuilt and makes them visible to employees in the portal.

Steps

  1. Go to Payroll and click the payroll run in By Period.

  2. Check that Status shows Draft.

  3. Click Lock at the top of the page.

  4. Confirm that Status now shows Locked. The controls change to Unlock and Mark as Paid.

  5. If a calculated figure needs to change, click Unlock. The run returns to Draft. Correct the source record, then follow Rerun a draft payroll.

What happens next

While the run is locked, Run Payroll is unavailable. Owners, managers, and supervisors can still use Add Earning or Add Deduction on a payslip for one-off adjustments.

Employees can see a locked payslip in the portal. Unlocking hides it from the portal again until you lock the run or mark it paid.

Locking is reversible while the run remains locked. After you mark it paid, Unlock is no longer available.

Common problems

  • Lock is disabled. Click Run Payroll first so the run has generated payslips.
  • Unlock is missing. Only owners and managers see it, and a paid run cannot return to draft.
